FAQs

What is the Waitlist Policy?

Imagine! School Age Services After School Program, School Closure Days, and Summer Camp is formatted as a first come, first served basis. As parents / guardians register for services for their loved ones, a registration order is created based on when the parent / guardian completed the registration process. With this in mind we will be prioritizing Boulder County resident over other counties due to Boulder County funding.

The number of participants that can receive services is determined by the amount of staff we obtain throughout the year. Imagine! School Age Services operates within small ratios of (1:1 – 1:5) and due to this we heavily rely on the availability of Imagine! Staff members. This aspect is how School Age Services determines the amount of participants that can be accommodated and the number of participants on the waitlist.

What is the Cancellation Policy?

o For summer camp 2024, we ask that all families send their adjusted registration schedule by May 1st the latest.

o If attendance drops below what was signed up for, your child's spot within our program will be offered to someone on our waitlist.

o We require that all cancellations that are planned (vacation, doctors appointment, any planned event) be communicated within two weeks to the email schoolageservices@imaginecolorado.org

o If your child is sick or there is a last minute emergency please communicate as soon as possible so we can alert our staff and alter our program. It is the parent's responsibility to call the Imagine! Coordinator phone – (720)-413-4716 at least an hour before services to alert us of a change.

o If a child is dropped off 15 minutes after the drop off window they are considered a cancel and we will not have the staff to support them that day.

What is the Attendance Policy?

o A child within our services must attend a part time or full time schedule to maintain their slot within our services. This ensures less staff turnover, a better understanding of our group size, knowing how many supplies or tickets we must purchase per program, and developing TR goals for each child.

o Part time schedule – 2-3 days a week. We do not accept a one day a week attendance.

o Full time schedule- 4-5 days a week.

o If your child's attendance drops below full or part time, your child's spot within our program will be given to a child that is on our waitlist

How do I know my child is fully registered?

To be considered fully registered for School Age Services the following documents must be read, filled out, signed, and returned to our School Age Services email ( schoolageservices@imaginecolorado.org ). Once we receive all of your documents our office team or Liaison team will reach out to let you know you've completed all necessary paperwork. Our Coordinator or Liaison team will also reach out if you are missing any piece of registration paper work. As a reminder our registration is first come, first serve and turning in all necessary paperwork does not guarantee your loved one a spot. It is important to complete all necessary paperwork as soon as possible.

· Additional Outside Support Expectations- if you have any outside support coming to our program. This includes but is not limited to BCBA's, SLP's, OT's, etc.

Who to contact if you need to cancel or you're running late?

In the event that you will need to cancel attendance or are running late to drop off/pickup; please contact the School Age Service Coordinator Phone (720-413-4716) or email the School Age Services team at schoolageservices@imaginecolorado.org . **If a child is more than 15 minutes late to be dropped off they will be considered a cancel**

What does drop off and pick up look like?

Morning drop off is between 8:30-9:00 am at your local designated base site. Our Imagine! staff will be there with a sign in/out sheet that is required to be completed by families at their time of arrival. Please be sure to put the correct time arrival or departure. At this time we encourage families and staff to discuss anything that will support a successful day. Between 4:30pm-5:00pm families will pick up their loved ones from their designated base-site and are required to sign the sign in/out sheet with the correct times. At this time staff will debrief family on how their loved ones day went and answer any questions that families have.

Are their behaviors that can lead to a child being suspended from services?

Imagine! School Services follows the Imagine! Suspension and Termination policy that can be found in your registration documents to read in more detail. If a child has a number of aggression or unsafe behavior incidents within a community setting, our team will reach out directly to the family and case manager to schedule a meeting. As a team, we will discuss the next steps to ensure the safety of your child, our staff, and community members. This could look like pausing services until more support is available (example – having a behavior therapist attend when your child attends) Our goal is to make certain that our completely community based program is the best option for your child and to work together to make sure they are successful while at program.

What steps do I need to take if I would like outside support or therapists to join my child at program?

Our services welcomes each child to have the highest quality support within our programs to assist them in the community and strive towards their goals. If your child has an outside support staff (therapist, family care taker, and volunteer) they are welcome to join our programs when your child attends.

To have an outside support staff attend they are required to fill out and sign our Outside Support Contract before attending our programs. This is to ensure we are in compliance with our child care licensing and are tracking any outside visitor that attends our programs that we have not personally background check. Their signed contract must be on file and they are required to sign our programs Visitor Log each time they attend a School Age Services Program. A child with an additional support staff will still always have an Imagine! hired staff assigned to work with them and the additional support staff must follow the rules and regulations of our program.

What are the ages of the program?

Imagine!'s Summer Camp activities are available for participants ages 7 to 21 who will benefit from participation in the community and Therapeutic Recreation. If a participant is 18 years old or older they will need to have been in school or transition program during the school year leading up to Summer Camp. We cannot accept any participants above the age 18 if they are not enrolled in school or transitions program.

What does a day look like?

School Age Services offers full day services Monday-Friday, but also provide half day options Mondays, Wednesdays, and Thursdays. Tuesday and Fridays are full day only due to those being our field trip days.

What does a full day look like (times throughout the day are subject to change based off activities):

· Families will drop off their loved one at their designated base-site, which you will select in the Personal Information Form, between 8:30am-9:00am.

· Between 9:00am-9:30am participants will utilize the restroom, play games, and start loading up to go to the first activity or head to the field trip.

· Roughly between 10:00am-11:45am participants will participate in the first activity of the day which will be based off the theme (The Huddle, Treks & Trees, etc.).

· Around 12:00pm -12:30pm participants will have time to eat lunch. Please pack a lunch that does not need to be heated up as we will be in the community cannot guarantee there will be a place to heat up food.

· Between 12:30pm-1:00pm participants will begin transitioning to the afternoon activity.

· Between 1:30pm-3:30pm participants will participate in the afternoon activity which will be based off the theme (Swimming, Exploration Station, etc.)

· Between 3:30pm-4:00pm participants will begin transitioning back to their base-sites for pick-ups.

· Between 4:30pm-5:00pm families will pick up their loved ones from their designated base-site.

What is Recreational Therapy and who is my child's CTRS?

Therapeutic Recreation (TR) or also known as Recreation Therapy (RT) an allied health profession that utilizes activity-based therapy and the interests of participants to assist them with achieving personal goals and creating a foundation for a full and satisfying life. TR/RT focuses on improving a person's quality of life in the following five domains: physical, cognitive, social, emotional, and spiritual, with an emphasis on leisure needs through activity interventions. Our TR services implement a community based approach, using the community as our classroom and teaching daily living skills and independence with real life scenarios. In School Age Services we have 3 Certified Therapeutic Recreation Therapists (CTRS) on staff. These staff went to school and studied therapeutic recreation, completed 1 or more internships in the field, and then took a certification exam. They maintain their certification through continuing education and attending conferences. Our CTRS's plan, implement, and facilitate all of the fun activities your loved ones participate in. They also each have caseloads of participants in which they are in-charge of creating and updating your loved ones Individualized Therapeutic plan, a plan that staff read each day to better assist your loved one, and tracking progress of individuals goals. The CTRS's also work with other members of your loved ones Interdisciplinary teams to make sure that there is consistency with interventions across the board. The CTRS team is also responsible for tracking any trends that appear while loved one is in our services and then reach out to families to determine next steps.

Communicating Changes:

We ask that if there any changes in a participant's life that it is communicated to the CTRS that has your loved one on their caseload as soon as possible. These changes can include but are not limited to medication changes (both if we have to administer medication or in general as medication can have side effects we need to be aware of), behavioral concerns, deaths, changes in physical or cognitive health, etc. It is important for our team know any of these changes to best support your loved one while they are with us and can work with you and their interdisciplinary team to offer the best support with any changes. Our CTRS team will then update the participant's Individualized Therapeutic Plan with the changes so that staff are made aware and can also best support your loved one.

Our CTRS team will also keep track of any trends we notice within our program through incident reports, documentation, and staff feedback. When we notice a trend our team will reach out to the families to set up a meeting to discuss the noticed trends and to come up with a plan of action depending on the trend. The CTRS's or a member of the School Age Services team will reach out to families day of if we notice any changes in a participant and are unsure why these changes are happening, these can include but are not limited to: stating they are in pain, crying if we are unable to ascertain why, behavioral concerns and they were not previously discussed, any changes in mobility, or etc.

If your loved one has previously attended School Age Services our CTRS team will send you the Individualized Therapeutic Plan that we have on file after you register to gain insight on any changes that may need to be updated in the plan. Please make any changes and send the plan back to the CTRS so we can make sure staff are able to provide the best support.

What is an incident report?

Incident reports are written in our for a variety of reasons including but not limited to: aggression towards others, damaged or stolen property, potential injury (head injuries, being aggressed upon, any injuries that require more than First Aid), hospitalization, illness, medication errors, seizures (if not known participant has seizures), or unusual behavior (bathroom accidents when not a common occurrence, eating non-edible objects, etc.). Incident reports are written to assist our team with tracking incidents that happen within our services to see if there are any trends of when the incidents are happening.

If an incident report needs to be written our staff will notify you, the family, when you pick your loved one up at the end of the day or if it is a bigger incident a staff member will reach out as soon as possible via phone. At the end of the day the staff that witnessed the incident will write an incident report, and then the CTRS that has the participant on their caseload will look over the incident to make sure all pertinent information is included. Once the CTRS looks over the incident report the report will be sent via e-mail to the family and case manager (if applicable).

We encourage families to read over the incident reports and reach back out to the CTRS with any questions you may have or any suggestions you may have regarding the incident.

Scheduling a Meeting

While your loved one is attending our services if you would like to schedule a time to discuss how your loved one is doing in program, incidents, trends, changes, or any other information please reach out the CTRS that has your loved one on their caseload. Please allow 48-72 hours for a response from the CTRS as they will be out on shift with the kids most of the week. If you have not received a response after 72 hours you can reach out to Quincy Malecki, CTRS Supervisor to schedule an meeting. If a CTRS is not available to meet then another member of the School Age Services team will meet with you and will pass along the information to the CTRS.

A CTRS may request to schedule a meeting with the family especially if there are any behavioral concern trends. We ask that families respond within 72 hours to set up the meeting, and we ask that anyone you would like to be involved in the meeting to be invited, including other therapists on the participants team.

Can I change my registration after it is completed?

Once you have registered for your summer camp days you will not be able to add additional days. You can drop a day or adjust days (i.e. changing a Thursday for a Friday). Please note that if you are registered for part time and you drop down to one day you will no longer be considered eligible to attend Imagine!'s Summer Camp.

Can I adjust the time I pick up and drop off my child from summer camp?

We are a community based program and due to the nature of our program cannot accommodate adjustments to pick up/drop off times.

When will I find out the confirmed summer schedule?

On May 5th, 2024 the School Age Coordinator will send out Summer Camp Confirmations with your child's completed summer camp schedule. Please communicate any changes as soon as possible.

How do I contact my child's case manager?

Any participant that has waiver funding, Children Extensive Services, Developmental Disabilities, or Supported Living Services waivers, has a Case Manager. Your case manager will be through your local Community Center Board (CCB) which is based off where you live. The staff in the School Age Services department are not case managers. We do however work closely with case manager to make sure your loved one has enough funding to attend our services. We do ask that you provide us with the contact information for your case manager, so that we are able to request units/dollars for attendance. If you are unsure of who you case manager please reach out to your case management agency.

What are the hiring qualifications of staff?

In order to fully support your loved one(s) our DSPs (Direct Support Professionals) attend an orientation week where they receive live trainings including, but not limited to: CPR/First Aid, Safety Care, Lifts and Transfers, and Signs & Symptoms of Illness and Infection control. All DSPs take online courses through the Colorado Shines portal to earn certificates in Mandatory Reporting, Playground Safety and Injury Prevention.

Our program operates under a Boulder County Childcare license which requires our staff to undergo additional background checks before working with our participants.

Our lead staff receive further trainings to be delegated to administer medication and g-tube interventions

What are the Safety Protocols of our program?

Our program operates under a Boulder County Childcare license that we are audited and reviewed for each year to ensure we are meeting the high standards and quality of care within our programs.

Additionally, we must meet the standards to be in compliance with Boulder County Health as well as (HCPF) Colorado Department of Health and Financing.

Lastly, each staff member that we hire are required to participant in 40 hours of in person training, 12 hours of online training, complete four background checks and two training shifts to work alone with a child within Imagine!'s School Age Services program.

Field Trip Days:

Tuesdays

Field Trip Days provide an opportunity to experience all the beauty, recreation, and excitement Colorado has to offer. Participants will explore interactive museums, accessible nature spots, thrilling water and amusement parks, and so much more. These full-day adventures allow participants to navigate different public settings and environments to build safety skills within the community.

Therapeutic Recreation Focus & Goals:

The Huddle:

Monday Mornings

Participants will engage in a variety of movements and exercises at The Huddle through games and adaptive recreation. These activities will encourage participants to not only increase their ability level, but also to build relationships with their peers and explore their leisure options. Participants will gain community experience at the different gyms, studios, and recreation spaces where they attend different classes and interact in inclusive environments.

Monday & Thursday Afternoon

At our swimming days, participants will engage in adaptive aquatics techniques to enhance water safety skills, cardiovascular fitness, community engagement, and swimming techniques. We encourage participants to excel at their own pace and advocate for their preferences while increasing their aquatic autonomy and ability.

Please note that while we will be working on swim skills and safety awareness, our instructors are not certified swim instructors. If there are specific skills you would like your child to work on at the pool, please designate it on the registration form or participant information form.

Wednesday Morning

Experience the abundant natural resources here on the Front Range of the Colorado Rockies! Campers will have the opportunity to explore the nature around them by going on hikes, gardening, identifying natural herbs and oils, interacting with animals, canoeing and kayaking, fishing, creating natural art, and other outdoor activities. Using experiential education to foster learning, we emphasize tactile, auditory, visual, and sensory integration all while in program. These outdoor adventures will be structured into our activities by exploring local parks, hikes, trails, and open spaces all while developing an awareness and appreciation for nature.

Wednesday Afternoon

Exploration Station incorporates creative, inquiry-based learning with hands-on activities, geared toward providing exposure to topics such as nature, culture, arts, and sciences. Participants will have an opportunity to explore various leisure interests, engage in self-discovery, and connect to the world around them.

Thursday Morning

Campers will be given the opportunity to explore various art media including paint, clay, pastels, paper, fabric, photography, tie dye, ink prints, beads, and more. Campers will have the ability to increase fine motor skills to become more confident with scissors, paint brushes, markers, and other adaptive tools. This activity is a place to explore self-expression and build creative thinking as they experience the freedom that art has to offer.

Friday Morning

Explore Colorado offers participants the chance to explore and engage with their local community. While accessing community spaces and experiences, participants will gain leisure knowledge, identify recreation resources, and form connections within the community.

Friday Afternoons

Dance, sing, and groove through facilitated movement and song! Using many different modalities such as yoga, guided imagery, musical interpretation, song writing, singing, creative writing, and using humor therapy. Campers will experience the health benefits gained from active self-expression and body movement. Work on flexibility, learn new dances, play games, sing songs, and learn methods for relaxation.
